FOR WEDDING & EVENT VENUE OWNERS
Connect your Virginia venue’s ceremony, reception and cocktail spaces with a coordinated furniture package. Plan the guest-facing look together with the routes and room changes that make the event work.

01 / THE COMPLETE EVENT
A garden ceremony, terrace cocktails and dinner in an estate room can involve three inventories and several handling routes. Treat the entire sequence as one furniture project.
Virginia’s venue settings include estates, gardens, vineyards, resorts and indoor reception rooms. A Northern Virginia or Richmond project may use a different building layout from a Blue Ridge property or Tidewater venue. Start with a simple property map showing where guests go and where the furniture travels. Include the enclosed alternatives and the spaces that must be fully dressed before the ceremony begins.

Measure restrictive doors and turning points before choosing a large table, sofa or trolley.
Identify covered and exposed placements, and compare the outdoor event plan with its indoor alternative.
02 / RECEPTION TABLES & CHAIRS
Use the reception room’s materials as the starting point for finish selection, then review the furniture as a complete table setting. A warm timber chair can be coordinated with either exposed tables or linen-covered rounds, but those table choices have different storage implications. Include a sample chair, proposed table dimensions, upholstery and the desired finish family in the brief. Note any existing pieces you want the new package to work with.

03 / CEREMONY SEATING
Keep the ceremony and its indoor alternative on the same planning sheet. If moving indoors uses the room already set for dinner, work through what must move and when. If a second room can be prepared in advance, count its furniture independently. The right order depends on your property’s event sequence rather than assuming that every outdoor chair can simply appear at a reception table afterward.
Include the aisle, entrance and guest movement in your drawing. Use the venue’s approved layout and have the final arrangement reviewed through your normal venue approval process.

04 / COCKTAIL & LOUNGE FURNITURE
A small terrace group and an enclosed cocktail lounge may look coordinated while needing different products. Describe the exposure and storage arrangement for each position, then request the relevant material and upholstery options. Use occasional tables where seated guests can reach them, and keep door approaches clear. Carry a colour or finish through the event spaces instead of forcing one construction type into every setting.
List lounge chairs, sofas, side tables and cocktail-height tables separately. Include overall dimensions and the intended indoor, covered or exposed location in the request.
COUNT WHAT OPENS TOGETHER
An estate wedding with garden ceremony chairs, an independently prepared reception and a cocktail lounge. This illustrative example assumes the ceremony and reception are fully set at the same time, with a separate lounge group.
That creates 320 dining and ceremony chairs before lounge seating. If you plan to share a chair set, confirm when it can move and how the team will move it. Add reserve pieces according to your own operating plan.

05 / STORAGE & CHANGEOVERS
On a property with several buildings, identify the normal home of each furniture group. A central store can work only if its routes and receiving arrangements suit the equipment. Record thresholds, gradients and the most restrictive turn, and plan where furniture waits before returning to storage. Include compatible carts and table trolleys in the inquiry so the order supports the full movement between spaces.
Request the manufacturer’s stacking, cart and handling information for the specific furniture proposed. Confirm the delivered scope, assembly arrangements and storage requirements with the quotation.

Share both ceremony arrangements and the reception layout. Identify which rooms can be ready at the same time and which require a reset. Then count the chairs and tables by setup, with the actual move routes and holding areas included in the brief.
Yes. Include ceremony, reception, cocktail and lounge areas, plus the furniture you want to keep. Share quantities or a rough plan so the conversation can cover the whole package and the order in which you need it.
Send the venue location, furniture types, approximate quantities, finish preferences and timeframe. Include access and receiving details. Current options, price, availability and delivery scope need to be confirmed for the actual order.
